# Track each student's progress in a file so AI lesson plans pick up where you left off.

You track student progress, plan lessons against curriculum standards, write parent updates, and adjust your teaching for each student. A fresh ChatGPT chat starts without any of it.

A set of plain-text files fixes that. Each student gets a progress file. Your lessons go into a log. Claude reads the relevant files before it plans, so each session starts from what you already know about the student.

## What starting from zero costs a tutor

Suppose you work with five students. Each has a different grade level, different gaps, and a different pace. You ask ChatGPT for practice problems for Student A. It writes generic questions.

The next week, you need more problems for the same student. ChatGPT does not remember what you covered, which concepts the student mastered, or which problem types caused confusion. You explain it all again.

You prepare for a new student's first session and ask for diagnostic questions. You get a standard assessment with no link to your approach, your curriculum, or the way you run a first evaluation.

The rebuild takes time every week. A fresh chat does not know your students. It cannot compare one student's progress with the pattern you saw in others. It does not know your scope, sequence, or pace.

## Give each student a progress file

Claude Code reads `CLAUDE.md` from the folder where you start it. Use it for your standing rules, and keep one file per student in a `students/` folder. A synthetic file:

Record facts you observed, with a date. The file then shows progress as a sequence, not as an impression.

## Start a new student with an intake entry

A new student's file starts at the first session. Record the grade, the subject, the goal the family stated, and the date of the next test. Run your usual diagnostic and record the results by skill, not as one score.

After the second session, add the first "what works" and "what did not work" lines. Two sessions give you enough to plan the third from the file. The profile then grows one short entry at a time.

## Plan the next lesson from the file

You ask Claude to plan Thursday's lesson for Student C. It reads the file. It sees that fractions are mastered, multi-step word problems are the gap, and bar models help. The plan starts with two word problems solved with bar models, then short timed sets, then one problem in the test format.

Keep the update after each session short. Three lines are enough: what you covered, what the student did alone, and what to do next time. Write them within the hour, while the details are fresh. A two-minute entry each session gives the planner a full history by the end of a term.

Before a parent meeting, you ask for a progress summary. Claude lists the dated milestones and the open challenges from the file. You walk in with facts, not memory.

## Keep the curriculum in the record

Record the scope and sequence you follow, the state standards you target, the pacing you use, and the test dates that matter.

When you plan next month, Claude reads which standards remain, which students need remediation, and where each student sits on the pace. The plan fits your actual teaching load.

If your students span several grades, keep a sequence file per grade. Claude then keeps Student A's sequence apart from Student D's.

## Write parent updates that stay consistent

Record each family's communication preference: how often they want updates, how much detail, and any concern they raised.

You need an update for Student B. The file says the parent wants an email every two weeks with a specific example. Claude drafts the update in that form, with a highlight from the lesson log.

A parent asks if their child is ready for advanced material. Claude cites your assessment results and the progress entries. Your answer rests on records, not on recall.

## Keep a lesson log that builds over time

Log every lesson: what worked, what fell flat, which explanation landed, and where the student got confused. Claude reads the log when it plans.

You are about to teach a concept that tripped up students before. Claude checks the log, notes which approach failed last time, and suggests an alternative that worked with a similar concept.

You plan a review session. Claude lists the topics each student should revisit, based on session notes and assessment results.

## Record what works, not a learning-style label

Many tutors sort students into "visual" or "kinesthetic" learners. The research does not support that approach. Pashler, McDaniel, Rohrer, and Bjork reviewed the evidence in 2008, in *Psychological Science in the Public Interest*. They found no adequate evidence that instruction matched to a learning-style label improves learning.

Record what worked for each student instead. "Bar models before computation" is a fact you can test. "Visual learner" is a label that hides the test.

Compare approaches the same way. Spaced practice, with review spread over days, has strong research support against massed practice on one day. You can check it in your own records: log which topics you spaced and which you blocked, then compare the next test results. Ask Claude to set the comparison up from the log, and draw your own conclusion from the numbers.

## Find patterns across students

Track the concepts that confuse many students, the gaps that recur by grade level, and the explanations that work across students.

When you assess a new student, Claude suggests diagnostic questions from those patterns. You find gaps sooner, because the questions come from your experience, not a generic test bank.

Keep each student's facts in that student's file. Cross-student patterns go in a separate `patterns.md` file with no names. The pattern is in [separating client context before agent work](/articles/separate-client-context-before-agent-work).

## Protect student information

Most tutoring students are minors. The files stay on your computer, but Claude Code sends the text it reads to Anthropic's servers during a session. Retention and training terms depend on your plan.

Keep the files lean:

- use initials or first names only;
- leave out school ID numbers, addresses, and medical details;
- record what the parent shared for tutoring purposes, and nothing more;
- if a school or district contracts your services, follow its data rules.

## Set up the files in an hour

1. Set up Claude Code, which needs a paid Claude plan or an Anthropic API account.
2. Create a folder you can open in Obsidian, which is free to download.
3. Write `CLAUDE.md` with your subjects, standards sources, and standing rules.
4. Add one progress file per student and one sequence file per grade.
5. Start `lessons.md` and `patterns.md`.
6. Test: ask for next week's plan for one student, and check it against the file.
