# Write one business file so AI covers every role in your one-person company.

You run a one-person business, and every minute counts. Yet the first five minutes of each AI conversation go to an explanation of what you do, who you serve, and how you sound.

AI should add capacity, not another task. With ChatGPT and most AI tools, each session starts from zero. Your voice, your product details, and your audience are gone. You become the AI's memory, and you paste context before each request.

A different setup lets the assistant know the business when the session starts. This article shows why generic AI fails a one-person business and how to build the file that fixes it.

## A one-person business needs context in every role

You handle marketing, sales, operations, customer service, and product work. There are no departments and no employees who hold context for you. Each request needs a different part of the business:

- email copy needs your offer;
- social posts need your voice;
- a proposal needs your prices;
- a support reply needs your policies.

A generic AI tool treats each conversation as separate. For a company with a marketing team, that is annoying. For a solopreneur, it removes most of the time the tool was supposed to save.

Do the arithmetic on your own numbers. Suppose each session costs 3 minutes of context setup, and you use AI 20 times a week. That is 60 minutes a week, or 52 hours a year: more than a full work week spent on the same explanation.

Time is not the only cost. When you rush the context, the output misses. You either rewrite it, which defeats the purpose, or you publish work that does not sound like you.

## Why ChatGPT settings fall short

When this article first ran in January 2026, each ChatGPT custom instructions field held 1,500 characters, about 250 words. The limit can differ by plan and change over time, so check the current limit in your own settings. At 1,500 characters, you cannot fit your business model, product list, price tiers, ideal client profile, voice rules, and content preferences. A larger field still holds a summary, not the business.

So you trade. You keep the voice rules and drop the product details, or you keep the offer and drop the audience. The assistant then works from a partial picture. ChatGPT's memory saves details from your conversations. You can view and delete saved memories, but the model decides when a memory applies to a given answer. You cannot give it a structure, and you cannot confirm that it will use the right fact at the right time. A business that depends on consistent output needs a source it can inspect.

## Five roles the assistant must play

A one-person business needs the assistant in several roles:

- Writing partner: drafts content in your voice without a new briefing each time.
- Research assistant: knows your niche well enough to filter out what does not apply.
- Strategy advisor: knows your business model well enough to make relevant suggestions.
- Support backup: drafts replies that follow your policies and tone.
- Operations assistant: knows your workflows and helps improve them.

Each role depends on context that persists. A writing partner that forgets your voice is not a partner. An advisor that does not know how you earn revenue cannot advise.

## Put the business in a file

Claude Code reads a file named `CLAUDE.md` from the folder where you start it. The file has no settings-field character cap, so it can hold your business details, service descriptions, client profiles, voice rules, and workflows. Claude reads it at the start of each session. The [Claude Code memory documentation](https://code.claude.com/docs/en/memory) advises under 200 lines per `CLAUDE.md` file (checked 2026.09.25). Put long detail in the files that `CLAUDE.md` names.

For a solopreneur, that means:

- session 1 and session 100 start with the same context;
- you paste nothing and explain nothing before the request;
- a change to the business goes into one file, not into scattered chats;
- different work modes can use different files.

When you change a price, you update the file once. The next session uses the new price.

Start with five sections. A synthetic example for a solo brand designer:

The file grows with the business. Add client communication templates, content frameworks, research you reuse, and your standard operating procedures.

## Give each work mode its own file

One file for everything gets long and mixes jobs. Split by mode and name the files in `CLAUDE.md`:

A content request reads `content/`. A proposal reads `clients/` and the price file. A bookkeeping question reads `admin/`. Each answer then starts from the facts it needs and nothing else.

## Test the file from a cold start

A file only helps if the assistant uses it. Test it the way you would test a new hire.

1. Close every open session.
2. Start a new Claude Code session in the business folder.
3. Ask for three outputs: a newsletter opening, a proposal outline for a new bakery client, and a reply to a refund request.
4. Check each output against the file: offer, price source, voice rules, and policy.
5. For each miss, fix the file, not the chat, and run the same three requests again.

Pass means all three outputs use current facts and follow the voice rules with no added explanation from you. Fail means the file lacks a fact or states it in two places.

## Add to the file after the first month

After four weeks of use, read back through your sessions. Look for the explanations you still typed by hand. Each one is a missing line in a file.

A common addition at this point is a short list of past client results you may cite. Another is the questions prospects ask most often, with your answers. Refund and revision rules also tend to show up here. Add each one to the file where it belongs, and date it.

Remove anything that went stale. An old launch date or a retired package in the current focus section will leak into a draft sooner or later.

## Grow without a hire

Many solopreneurs reach a point where the business needs more capacity than one person has, but revenue does not yet support a hire. An assistant with a maintained business file fills part of that gap. It does not replace a future team member. It extends what you can do alone until then.

The limit is not the model's ability. Generic AI can write copy, analyze data, and draft proposals. Without your business context, those outputs need heavy edits. With the file, the edits shrink, and more first drafts come close to usable.

## What to know before you start

Claude Code needs a paid Claude plan or an Anthropic API account. The files stay on your computer, but Claude Code sends the text it reads to Anthropic's servers during a session. Keep passwords, bank details, and client secrets out of the folder.
