# Separate your practice reference from case records before AI helps with court reports.

You carry thirty-two cases. Each family has a history that matters: trauma, earlier child protective services involvement, custody arrangements, mental health diagnoses, substance use. Each case has documentation duties: court deadlines, service plan goals, home visit schedules, and mandated reporting timelines.

Today you write a court report. It must cite the October home visit, the September substance use evaluation, and the July domestic violence incident. That information sits in the case management system, in email threads, and in handwritten notes from phone calls. You rebuild the timeline from fragments.

Case management software holds the official record. It often misses the context: a parent's tone about her own childhood, a father's behavior at supervised visits, a concern the grandmother raised by phone.

AI can reduce this reconstruction work. It can also move the most sensitive information you hold into a system your agency never approved. The setup below keeps those two things apart.

## Start with the data boundary

Case information about children and families is confidential under state law and agency policy. Some records carry extra federal protection, such as substance use disorder treatment records under 42 CFR Part 2. The NASW Code of Ethics, standard 1.07, covers privacy and confidentiality.

A general AI tool sends the text you give it to the vendor's servers. Claude Code does this too: the files stay on your computer, but the content it reads goes to Anthropic's servers to generate each answer.

So the setup has two layers:

- The reference layer: a practice reference file with no identifying case data. It holds court formats, provider notes, procedures, and templates.
- The case layer: case records with identifying data. They stay in your agency's case management system, or in an AI tool your agency has approved for case data in writing.

## Keep court requirements in the reference file

Courts want different formats. Juvenile dependency court needs specific safety assessments. Family court needs different documentation for custody evaluations. Guardianship hearings have their own requirements.

You learn these formats through experience and correction. One judge wants concise reports with bullet points. Another prefers narrative detail. The court in the northern district requires signed releases for every service provider a report names. The downtown courthouse uses a different filing system.

That knowledge often lives in an old manual, a few saved templates, and your memory. Put it in the reference file instead. A synthetic entry:

Before a hearing, you ask for the report outline for that court and judge. The outline follows the recorded format. You write the facts from the case record.

## Case continuity across months

Child welfare cases run six months, a year, or longer. You meet families weekly or monthly. Between visits, you talk with schools, therapists, and attorneys, and you file court documents.

Consider a case that started eight months ago. You made home visits, followed the parents' therapy attendance, checked school attendance, and coordinated with the foster parents. Now you write the permanency hearing report. It must show progress toward reunification, document services, and assess safety and risk.

Chronological case notes do not tell that story. You scroll months of entries to find what matters. A running case summary, updated after each contact, gives you the story at report time. Keep that summary inside the case record or an approved tool, with a date and a source for each entry. Keep its template in the reference file:

## Treat the reporting log as a record, not a decision rule

Mandated reporting has legal timeframes. The clock starts when you become aware of the concern, not when you confirm it. Different situations carry different urgency.

You also need to know which reports you already made. Say you reported a concern about one family in November and filed on another case in December. When new information surfaces, you need to know if an investigation is already open.

A reporting log helps: case ID, date, hotline or agency, reference number, and the concern reported. Keep it inside the agency system. Use it to add context to a new call, never as a reason not to call. New concerns go to the hotline under your state's law and your agency's protocol, whether or not a prior report exists. If you are unsure, report.

## Build a provider directory

Every case involves several providers: therapists, substance use counselors, domestic violence advocates, housing programs, job training, and parenting classes.

You know which providers work well. One therapist is strong with trauma but has a six-week waitlist. One center takes Medicaid and starts families within days. One parenting program offers evening classes for working parents.

You also know the problems. One anger management program has a high dropout rate. One counselor sends progress reports late. One therapist requires payment up front, which does not work for families on assistance.

Senior workers know the good referrals. New workers learn by trial and error. A provider directory in the reference file holds this knowledge with no family data in it. A synthetic entry:

Keep provider notes factual and dated. Directories get shared, and a note should hold up if a colleague or a provider reads it.

## Family history and trauma background

The presenting problem is rarely the whole story. A child's behavior can connect to a parent's untreated trauma. A father's missed visits can connect to his own years in foster care. A teen's substance use can start after an assault she never reported.

You learn these facts in pieces: a comment at a home visit, a therapy release, a call with a grandmother. They matter for case planning, and they fit badly in database fields.

These are the most sensitive facts you hold. They belong in the case record, with who said what and when. If your agency approves an AI tool for case data, every summary it drafts must cite the record entry for each fact. They do not belong in a general reference file.

## Record what each family asked for

Families differ in how they view discipline, family structure, and help from outside. Some need an interpreter. Some prefer written material in their primary language.

Record what each family told you, not a generalization about a culture. One family asked for Spanish materials, although they speak English. Another asked that you address the grandmother first in meetings. Another asked that visits avoid prayer times. Put these requests in the case record as service preferences, so the next worker sees them at first contact.

## Write down your safety reasoning

You assess safety constantly. Is this child at immediate risk? Can this parent supervise safely? Does this home meet minimum standards? After hundreds of cases, you recognize risk factors and know which red flags need immediate action.

That judgment is hard to explain and hard to pass on. A new worker can miss what you see. An experienced worker who decides fast can struggle to state the reasons.

AI can help you write your reasoning down. Give it your agency's structured assessment tool and your observations, and ask for a draft rationale that ties each conclusion to an observation. The assessment itself stays with you and your supervisor. The model does not score risk.

## Keep a crisis protocol ready

Crisis calls come without warning: a parent relapses, a domestic violence incident occurs, a child discloses abuse, a teen attempts suicide. You need to know at once who is in the home and which services are in place. You also need the emergency contacts and the history of earlier crises.

The case system holds some of that. It may not show which emergency contact answers the phone, which therapist is on leave this week, or what calmed this parent last time. Record those facts in the case record after each crisis. Keep the agency crisis protocol and the service phone list in the reference file. In a crisis, follow the protocol first.

## Draft each document type from one set of facts

You spend hours on case notes, court reports, service plans, and progress summaries. Much of the content repeats: the family situation, the services, and the goals.

Copy and paste does not work, because each document has a purpose. A court report needs different detail from a case note. A service plan centers on goals. A progress summary shows change over time. Keep one template per document type in the reference file. Draft from the case record inside the approved system, and sign only what you have checked line by line.

## The setup

The reference layer is one folder with a `CLAUDE.md` file at its root. It holds court formats by jurisdiction, judge preferences, and filing deadlines. It also holds the provider directory, the reporting procedure, the crisis protocol, and document templates. It holds no names, case numbers, or identifying details. Put it on an agency device that your agency's policy permits, not on a personal device unless the policy says so.
