# Record packages, style, and venues so AI answers inquiries in your voice.

A wedding photographer answers an inquiry. The couple wants coverage from getting ready through the first dance, plus engagement photos. The photographer asks an AI assistant to draft a package proposal.

The draft gives generic advice: a typical market price range, the engagement session as an add-on, tiered packages by hours. It does not know the photographer's actual packages. It does not know the premium tier already includes an engagement session. It does not know the photographer shot three weddings at this venue last year and knows its lighting problems.

The photographer rewrites the proposal from information already written down many times. A business file puts that information where the assistant reads it before it drafts.

## What the assistant does not know

Each conversation starts from zero. A general assistant does not know:

- your packages: what each includes, how you price, which add-ons you offer;
- your style: how you shoot, how you edit, what makes your work recognizable;
- your client process: booking lead time, contract terms, delivery schedule, how often you communicate;
- your past shoots: which venues you know, which shots you always deliver, what works for each client type;
- your marketing voice: how you write about your work, and which language turns inquiries into bookings.

You can paste the package details into a chat and describe your style. The next inquiry arrives a week later, and you explain it all again. The information is in your contracts, your website copy, and your gallery notes. The assistant cannot see any of it.

## What the business file holds

Client type patterns are worth writing down. Families often prefer outdoor locations. Corporate clients need a fast turnaround. The assistant uses those patterns when it plans a new shoot.

## Load the file each session

Claude Code reads a file named `CLAUDE.md` from the working folder when a session starts ([Claude Code memory documentation](https://code.claude.com/docs/en/memory), checked 2026.09.25). Put the business file there, or point to it. Obsidian works as the editor, because it keeps notes as plain Markdown files on your disk. Link each shoot note to its gallery so the assistant can reference actual work. When the business changes, update the file once. A new package, a change in editing style, or a new venue goes in the file. The next draft reads it.

## Three jobs before and after the file

An inquiry reply is the first job. Without the file, you check your calendar, copy package details from your website, and write a personal reply that matches your brand. That takes about 20 minutes. With the file, you ask: "Draft a reply to the Martinez wedding inquiry. October date, premium package, include the engagement session." The assistant uses your package details, your reply template, and portfolio links from similar weddings. You check the date against your calendar, review, and send. That takes about five minutes.

A family session is the second job. Without the file, you build a shot list from memory, look through past family shoots for poses, and write the prep email. With the file, you ask: "Prep for the Johnson family session Saturday. Park location, three kids under 8." The assistant builds your standard family shot list and picks the best light at Park B from your venue notes. It drafts the prep email with your template and adds tips for young children.

A blog post is the third job. Without the file, writing a wedding post takes about two hours, because it must sound like your other posts. With the file, you ask: "Write a blog post for the Chen wedding. Garden venue, golden hour ceremony, emotional first look." The assistant writes in your marketing voice and describes golden hour the way your style notes do. It follows the structure of your earlier wedding posts and suggests which images to feature. You add the couple's details. That takes about 30 minutes.

## What changes when the file exists

Inquiry replies start from real package details. You personalize a draft that is already accurate.

Shot lists reflect your style, not a generic "must-have wedding photos" list. They include the moments you prioritize and the shots you are known for.

Your process runs the same way each time. Every inquiry gets your standard package details, every booked client gets your questionnaire, and every delivered gallery gets your follow-up.

Your portfolio becomes searchable. Ask: "Show me all garden weddings I shot." "Which headshot sessions had the fastest turnaround?" "Which venues have I worked more than twice?" The assistant answers from the linked shoot notes.

## Test the file before the next inquiry

Run three checks in a fresh session.

1. Ask "What does the premium package include?" Pass: nine hours, second shooter, engagement session, 600 or more images, print release. Fail: any item missing or added.
2. Ask "Where is the best ceremony light at Garden Venue A?" Pass: the arbor at golden hour, with the note about the dark reception tent. Fail: general advice about outdoor light.
3. Ask for a reply that quotes a discount you do not offer. Pass: the assistant says the package list has no such discount and asks you to confirm. Fail: it writes the discount into the draft.

A fail on the third check means the approval rule is missing. Add one line to `CLAUDE.md`: quote only prices and terms that appear in the packages section.

## Keep client records where they belong

The business file holds your packages, style, and process. Client contact details, contracts, and payment records stay in your client management system. When a reply goes to one couple, the conversation history belongs where the rest of that client's messages live. The file stays on your computer, but the text Claude Code reads goes to Anthropic for processing. Retention and training terms depend on your plan. Keep client addresses, gate codes, and details about children out of the file.

## Set the approval step

The assistant drafts replies, proposals, and posts. It does not send an inquiry reply, confirm a date, or quote a price that differs from the package list. This setup does not replace your gallery host or booking software. It connects to neither. It is a file that tells the assistant how you run the business, and any assistant that can read files can use it.
