# Keep client profiles so AI programs around injuries, schedules, and goals.

A trainer asks an AI assistant for a program for a client who wants to lose 20 pounds. The assistant returns a generic 12-week split with cardio. It does not mention that this client has a bad shoulder, dislikes running, and can train only three days a week.

The trainer asks for nutrition guidance. The assistant recommends meal prep and macro tracking. The client works nights and eats most meals at work. None of the advice applies.

The assistant does not know the clients. It does not remember that one client cannot press overhead. It does not know that another client's goal moved from fat loss to strength, or that a third needs low-impact cardio because of knee pain. Client profiles and a coaching file put those facts where the assistant reads them first.

## Why generic fitness advice misses

A general assistant gives textbook fitness advice. A program built for everybody fits nobody. Check-in messages read like automated app notifications.

The fitness knowledge is not the gap. The client context is. The assistant does not know that one client is in her 50s, recovering from rotator cuff surgery, and afraid of another injury. It does not know that another client has his first powerlifting meet in 12 weeks and needs a peaking block. It does not know that a third client dropped from five sessions a week to three because of work travel.

It also does not know your style. Do you coach online or in person? Do you write detailed programs or use autoregulation? Is your focus strength, bodybuilding, or general fitness? How do you balance a push with meeting a client where they are? Without that, you rewrite every draft.

## What the files hold

Keep one profile per client and one coaching file for your methods.

| File | Section | Contents |
|---|---|---|
| Client | Basics | Goals, training experience, injury history and current limits, clearance notes, available days and equipment |
| Client | Preferences | What the client enjoys, what they dislike, what they respond to |
| Client | Current state | Program phase, recent progress, recent missed sessions, notes from the last check-in |
| Coaching | Programming | Preferred splits, exercise selection rules, rep ranges, volume guidelines, how you build mesocycles, progression models, deload rules |
| Coaching | Nutrition | Your approach: macro targets, meal plans, general guidelines, or referral; standard guidance by goal; how detailed tracking gets; supplement stance |
| Coaching | Communication | Check-in structure, how you give form feedback, how you address missed workouts, how you mark wins, tone for motivation, teaching, and correction |
| Coaching | Service | In person, online, or hybrid; delivery format; check-in schedule; response time; what each service tier includes |

## Inspect a client profile

This is a synthetic client.

```markdown
# Client S-03
updated:: 2026.09.25
age:: 54
goal:: return to pain-free strength; fat loss second
experience:: 2 years, machines and dumbbells
## Limits
- Rotator cuff repair, right shoulder, 2025-11.
- Cleared for resistance training by her physical therapist, 2026-06.
  No overhead pressing until the next PT review.
- Afraid of re-injury: program conservatively; explain each progression.
## Setup
- 3 sessions a week at home. Dumbbells to 25 lb, resistance bands.
## Preferences
- Dislikes jumping and high-impact moves.
- Responds well to detailed cues and short videos.
## Current phase
- Week 5 of 8, accumulation. Rows and split squats progressing.
```

## Load the files each session

Claude Code reads a file named `CLAUDE.md` from the working folder when a session starts ([Claude Code memory documentation](https://code.claude.com/docs/en/memory), checked 2026.09.25). Put your coaching file there, or point to it, and list where the client profiles live. Then name the client in each request.

Obsidian works as the editor, because it stores each profile as a plain Markdown file. The files stay on your computer, but the text Claude Code reads goes to Anthropic for processing. Retention and training terms depend on your plan.

## Three drafts before and after the profiles

A program is the first case. Without a profile, "write a program for S-03" gets questions about who she is, then a decent but generic plan. With the profile, the assistant knows she is 54, in post-surgery shoulder rehab, and trains three days a week at home with dumbbells and bands. It knows to program conservatively, avoid jumping, and write detailed cues. The draft fits her without a re-brief.

A check-in is the second case. Without a profile, the assistant writes encouragement that fits anyone. With the profile, it knows the powerlifting client is eight weeks from his meet. It knows he hit a squat personal record last week, his deadlift lags, and he tends to skip recovery. It knows the peaking phase starts next. The message addresses his actual situation in your voice.

A nutrition guide is the third case. Without a profile, the assistant suggests meal prep and macros. With the profile, it knows the client works nights and eats at the hospital. It knows your approach for clients in high-stress jobs is simple food swaps and portion guidance, not detailed tracking. It knows you favor sustainable habits over an aggressive deficit. The guidance fits her life.

## Where the time goes back

The first draft is not where you save time. You save the part of each session where you explain the client again. With profiles, a program adjustment request produces something usable at once. A check-in comes out personal. Form feedback that needed careful wording starts close to your voice.

Growth is the real test. A trainer can write excellent programs for 5 clients. At 20 clients, the work gets rushed. At 40, everything becomes a template. With profiles, the assistant keeps details you would otherwise forget, so personal programming holds up as the roster grows. The guide [stop re-explaining your business to AI](/articles/stop-re-explaining-your-business-to-ai) covers the same pattern for any small business.

## Stay inside your scope

A profile holds health information that clients share with you in trust. Treat it that way.

- Ask the client before you record health details, and record only what programming needs.
- Record medical and physical therapy clearances with their date and source. Do not program past a clearance.
- Refer medical nutrition questions to a registered dietitian. Your state may restrict individualized nutrition advice.
- Keep each client's profile separate. One client's injury notes must never appear in another client's draft.

The guide on [what client data belongs in AI agent memory](/articles/client-data-in-ai-agent-memory) gives a field-by-field sorting test. The canary test in [separate client context before an agent touches the work](/articles/separate-client-context-before-agent-work) checks that profiles stay apart.

## Review before the client sees it

The assistant drafts programs and messages. You review and send them. Check each program against the client's limits before it goes out. If a draft includes a movement the profile rules out, fix the profile rule so it is clearer, then redraft. The guide on [how corrections become part of the system](/articles/corrections-become-system-memory) shows how to make each fix stick.

## Test a profile before the first program

Run three checks in a fresh session.

1. Ask "Write week 6 for S-03." Pass: no overhead pressing, no jumping, three sessions, dumbbells and bands only. Fail: any movement that the `Limits` section rules out.
2. Ask "Can S-03 start overhead pressing?" Pass: the assistant cites the physical therapy clearance date and says the next PT review decides. Fail: it answers yes or no on its own.
3. Ask for a check-in for S-03 while another client's profile is open. Pass: the message uses only S-03's current phase. Fail: another client's record appears.

A fail on the first check means a limit is written as advice, not as a rule. Rewrite it as "No overhead pressing until [date or event]".

## Build the files in one afternoon

1. Write the coaching file: programming rules, nutrition approach, communication style, service details.
2. Create a profile for each active client from your intake forms and notes.
3. Add current phase and last check-in notes to each profile.
4. Ask for one program adjustment and one check-in, and compare them with your own.
5. Update profiles when goals change, after each check-in, and when a new client starts.

When your programming approach changes, update the coaching file once. Every later draft uses the new approach.
