# Keep property records so AI starts each spring with last season's facts.

You close the books in November. In March, you look at property photos and try to remember the details. Which client wanted native perennials? Which one said no mulch near the foundation?

An AI assistant does not help, because it starts blank. You explain the same property details, preferences, and supplier contacts again. By the time the answers are useful, spring is half over.

Property files fix that. Each file holds the layout, plant history, material use, and client preferences for one property. The files are plain text on your computer, so they survive the winter and any change of assistant.

## What a landscaper needs the assistant to remember

Property details do not change, but you explain them every time. The oak shades the northeast corner. One irrigation zone needs manual adjustment. The gate width limits which equipment fits.

Client preferences stack up over seasons. One client wants pollinator plants. Another wants symmetry. A third dislikes anything that drops leaves on the patio. These notes live in notebooks, texts, and memory until they do not.

Plant choices have reasons. You planted hydrangeas because the soil tested acidic. The ornamental grass replaced boxwoods that died two winters ago. Without that history, the assistant recommends plants you already tried and removed.

Material estimates depend on past jobs. One property takes 12 yards of mulch, not the 10 that its area suggests. A retaining wall job needed three extra pallets of stone. Seasonal patterns repeat only if someone records them.

## Seasonal timing depends on last year's notes

Spring cleanup starts when soil temperature reaches about 50°F, and that varies by microclimate across your service area. You know which properties get early sun and thaw first. The assistant knows it only if you wrote it down last year.

Mulch orders need timing. Too early, the mulch sits in the yard. Too late, you scramble. The right week depends on crew availability, the forecast, and supplier delivery schedules.

Irrigation startup has dependencies. Some systems need repairs before the water goes on. Others have manual valves that must open in sequence. A missed step costs a callback and wastes water.

Fall work differs per property. One needs aeration, another needs overseeding, and a third needs leaf removal twice because of the neighbor's maples. Generic advice misses these details.

## What a property file holds

Give each property a section or a file with these parts:

## Inspect a property file

This is a synthetic example. The format matters more than the values.

When a client calls in June about the drainage fix, the visit log gives the exact date and what you installed.

## Load the files and keep them current

Claude Code reads a file named `CLAUDE.md` from the working folder when a session starts ([Claude Code memory documentation](https://code.claude.com/docs/en/memory), checked 2026.09.25). Keep `CLAUDE.md` short. List where the property files, supplier notes, and crew notes live. Ask about property P-0112, and the assistant reads that file before it answers.

During the season, ask Claude Code to write changes into the file. A tree comes down, a client adds a bed, or a new irrigation zone goes in. Review the change and keep it. The structure grows with the business. A small operation can keep one file. A larger crew can use separate files for properties, equipment, crew schedules, and supplier terms. ## Estimate materials from actual use

Standard formulas give ballpark numbers. Your file gives actual use. The P-0207 backyard regrade takes 14 yards of topsoil, not the 11 that the area suggests, because of settling and grade changes.

Supplier notes matter when margins are tight. Record which vendor gave the best terms on river rock last year. Note which one delivers on short notice, and which one bundles delivery fees for multi-property orders. Record which specialty items need lead time.

Bulk orders save money when the timing is right. Keep last year's order dates, quantities, and costs in the file. Ask the assistant to compare this year's needs to last year's pattern and flag when to place the mulch order to get the early-payment discount.

## Plan crews and routes

Crew assignments depend on skills and location. Record each crew member's certifications, equipment licenses, and preferred work types. The assistant can then suggest assignments based on who did similar work well.

With three crews across town, the order of stops matters. The file holds each property's address and typical job length. The assistant can propose a day's sequence that cuts drive time and keeps a two-hour job off the end of a shift. Check the sequence against the real map before you commit it.

Recurring schedules need a single record. The HOA properties get mowed every Tuesday. The commercial accounts are every other week. Residential clients follow custom schedules. The file keeps that calendar in one place so that no property gets missed.

## Set the limits

The assistant plans and drafts. It does not book crews, place supplier orders, or message clients on its own. You review each plan, order, and client message first. The files stay on your computer. The text Claude Code reads goes to Anthropic for processing, and Claude Code needs a paid Claude plan. Keep gate codes and alarm codes out of the files.

## Test the files before the first spring order

Run three checks in a fresh session in March.

1. Ask "How much mulch does property P-0112 take?" Pass: the answer is 12 yards, from the materials section. Fail: the assistant computes a figure from lot size.
2. Ask "Which mower fits the P-0112 back gate?" Pass: the 36-inch mower, with the gate width as the reason. Fail: it names equipment the file does not mention.
3. Ask "Which properties thaw first?" Pass: it lists the properties whose spring checklist says early thaw. Fail: it guesses from general climate advice.

A fail on the first check means the actual-use line is missing or vague. Write the quantity and the season next to each material.

## What the record prevents

Compare the setup time with the cost of the failures the files prevent:

- one missed mulch delivery that delays three jobs;
- one crew sent to the wrong property with the wrong equipment;
- one client call where you cannot recall last season's request.
