# Record your carriers and compliance wording so AI drafts stay accurate.

You ask an AI assistant to draft an email that explains term life options to a client. The draft reads well, and it is dangerous.

It uses terms your carriers do not use. It names coverage you do not sell. It promises an approval time that no carrier guarantees. It ignores the state's required disclosures, and it uses casual words where approved wording is required. If you sent it, your license would be at risk. Instead, you spend 30 minutes on the rewrite.

A general assistant knows insurance concepts. It does not know your carriers, their underwriting rules, the state's disclosure rules, or the agency's approved language. A carrier and compliance file gives it those facts. You still review and send every message.

## Why generic drafts fail in insurance

Insurance is technical and regulated, and it varies by carrier, state, and policy type. A general assistant does not know:

- which carriers you represent and which products each one offers;
- your state's insurance rules and required disclosures;
- each carrier's underwriting guidelines and approval criteria;
- your compliance-approved wording and terms;
- which products fit which client profiles under your guidelines;
- policy details such as waiting periods, exclusions, and riders;
- renewal schedules and premium structures.

Client communication must be accurate and compliant. Without these facts, you either fix every draft or take a regulatory risk.

## What the file holds

Store what applies across many clients:

- carrier relationships and product lines;
- the policy types you sell, with accurate details;
- state rules and required disclosures, each with its source;
- approved wording and preferred terms;
- underwriting guidelines for common client profiles;
- common client questions with approved answers;
- renewal processes and timelines by carrier.

Do not store individual client files. The next sections show why.

## Inspect a sample file

This is a synthetic file. Carrier names are placeholders, and the rule lines show format only. Copy each real rule from your state insurance department and your carriers' compliance guides, and cite the source.

- Always: "subject to underwriting approval".
- Always: list exclusions and limitations in written material.
- Never: a fixed approval date. Use "typically" or "on average".

## Terms
- "premium", not "payment" or "cost"
- "coverage amount", not "face value"
- "beneficiary", not "the person who gets the money"
- "underwriting", not "approval process"

One line in that sample carries a dated fact. Medicare Supplement Plan F is not sold to people who first became eligible for Medicare on or after 2020-01-01 ([Medicare: Choosing a Medigap Policy](https://www.medicare.gov/publications/02110-medigap-guide-health-insurance.pdf), checked 2026.09.25). Record open enrollment the same way. Federal and state rules set the marketplace window, and the dates have changed before. Check the current window and its source each year before a renewal campaign.

## Add profiles and renewal rules

Profiles tell the assistant what your guidelines recommend for common situations. They are your standards, not the assistant's advice.

Renewal rules follow the same format. In the sample, Carrier A sends a term life notice 60 days before the term ends. The premium rises at renewal because the carrier prices it on the insured's age at that time. Your guideline: review conversion or a new term 90 days before expiration. For health, renewal is annual, and you send a renewal review 45 days before the effective date.

## Load the file each session

Claude Code reads a file named `CLAUDE.md` from the working folder when a session starts ([Claude Code memory documentation](https://code.claude.com/docs/en/memory), checked 2026.09.25). Put the carrier and compliance context there, or point to it from there. Then ask, for example, "Explain term life options for a 35-year-old client with two kids." The draft starts from your carriers, your disclosures, and your terms.

## Drafts before and after the file

A first explanation of life insurance is the first case. Without the file, the assistant writes about "affordable coverage" and "easy approval". It names carriers you do not represent and omits the disclosures. With the file, it drafts from Carrier A's term products, uses "subject to underwriting approval", and states that underwriting typically takes 2 to 4 weeks. It ends with the two required disclosure lines. You add the client's details and review it before it goes out.

Renewal season is the second case. Suppose 40 clients need a policy review email. Without the file, the assistant writes the same generic notice for everyone. With the file, it drafts by policy type. Term life clients get conversion options. Health clients get plan comparison language. Each draft carries the disclosures. Time the batch, including your review, against last year's renewal season.

A quick product question is the third case. A client asks about simplified issue. With the file, the assistant returns the criteria from Carrier A's entry: ages 18 to 65, no exam, about 48 hours. You answer in minutes instead of checking three carrier documents.

## A week of requests

On Monday, a website lead arrives: age 42, married, two children, asking about life insurance. The request: "Draft a first email for this lead. Explain term life options and next steps." The draft covers 20-year term options and a coverage range from your guidelines. It explains what to expect in underwriting, gives the next step, and adds the disclosures.

On Wednesday, a health client's premium is going up 12 percent at renewal, and the client is upset. The assistant drafts an email that acknowledges the increase and explains the usual reasons. It sets out three alternatives from Carrier B's lineup: a higher deductible, an HMO instead of a PPO, or an HSA-compatible plan. It states each trade-off.

On Friday, you meet a small business owner about key person coverage. The assistant drafts talking points from the business owner profile. They cover what the coverage is, why a business buys it, and typical coverage amounts under your guidelines. They also list tax points for the client's accountant and the underwriting requirements.

## Keep client records out of the file

Client health details, financial details, and policy numbers are nonpublic personal information. State insurance privacy rules protect them. The file holds products and rules, not people.

When a draft needs a client's details, add them in your agency management system or your email, after the draft. The file stays on your computer, but the text Claude Code reads goes to Anthropic for processing. ## Review every draft before it reaches a client

The assistant drafts. You recommend and send. Set these limits:

1. The assistant does not recommend a product for a named client. You make the suitability decision.
2. The assistant stops when a draft needs a rule that has no source line in the file.
3. The assistant never sends, quotes a binding premium, or promises approval.
4. You review each draft against the disclosure list before it goes out.

## Correct the file when a rule changes

Carriers change products and underwriting times. States change disclosure rules. When you catch an error in a draft, fix the file first, then redraft.
