# Build project files so AI drafts on-brand copy for each design client.

You need copy for Client A's new social templates. The AI returns generic marketing lines. The brand voice took weeks to develop, and none of it shows.

Next, Client B needs an email about a design revision. The AI writes formal, defensive paragraphs. Client B is casual and collaborative, so the tone is wrong. Then Client C needs a proposal, and the AI suggests a price structure that does not fit your studio's model or the project's deliverables.

The AI has no record of the projects. It does not know the brand rules, the past feedback, the client's communication style, or the scope. Each conversation starts empty. A project file closes that gap for copy, client email, and proposals. It does not design anything.

## What a general assistant cannot know

A general AI assistant can write copy, emails, and proposals. It cannot see the project context that controls each of those decisions.

It does not know that Client A's rebrand targets younger buyers, so the copy must be energetic and informal. It does not know that Client B's guidelines prohibit exclamation marks and prefer minimal language. It does not know that Client C's budget calls for a phased approach.

It also does not know the design history. The concept on the table may be the third direction after the client rejected two. The AI has not seen the first round of feedback. It does not know which visual references the client liked and which ones they rejected. Without that record, you rewrite each draft yourself.

## What each project file holds

Keep one file per project, plus one studio file for rules that apply to every client. The table shows the sections and one example entry for each.

The studio file holds your process. It records how you structure proposals, your standard project phases, and how you price each type of deliverable. It also records your revision policy and how you handle scope changes. Project files point to the studio file. They do not copy it.

## Inspect one project file

Here is a synthetic file for Client A's rebrand. A real file stays this short and this specific.

When you ask for social copy, name the project. The AI reads this file and the studio file, then drafts inside the brand rules. When a draft breaks a rule, add the correction to the file, not only to the chat. ## Load the file at the start of each session

Claude Code reads a file named `CLAUDE.md` from the working folder when a session starts ([Claude Code memory documentation](https://code.claude.com/docs/en/memory), checked 2026.09.25). Keep `CLAUDE.md` short. Put the studio rules in it and list where each project file lives. Then ask Claude Code to read the project file for the job in front of you.

In a chat product, attach the project file at the start of the conversation, or add it to that product's project feature. The file stays the same in both cases. Only the loading step changes.

The files stay on your computer. The text that Claude Code reads goes to Anthropic for processing, and retention and training terms depend on your plan. If a client contract restricts AI use of its materials, keep those materials out of the file.

## Three drafts before and after the file

Social copy is the first case. Without the file, "write social copy for this template" returns generic engagement lines. With the file, the AI knows the brand is moving from corporate to approachable. It knows the audience, the humor, and the community goal. The draft follows the brand strategy that you built.

A revision email is the second case. Without the file, the AI defends each choice in formal language. With the file, it knows Client B is casual. It knows the last round asked for "more energy" and that this revision answers that request. It knows the client trusts your judgment and does not need a long defense. The draft is short and warm, and it ties each change to the client's goal.

A proposal is the third case. Without the file, the AI returns a generic website redesign structure with placeholder deliverables. With the file, it knows Client C has a limited budget. It knows mobile experience and site speed are the client's main concerns. It proposes the priority pages first and the full site later, in your standard phases.

In each case, the saved time comes from the background you no longer type. You stop the ten-minute briefing before each request. The AI still drafts, and you still decide.

## Use the history to explain design decisions

Many clients do not speak visual language. They need the reasons in plain words, and that is often harder than the design.

The revision history gives the AI those reasons. It can frame each change as an answer to the client's own feedback. The client profile tells it what the client weighs most: aesthetics, function, or brand fit. The draft then puts weight on the right point.

## Keep proposals consistent without a template

Design projects are rarely identical. A fixed template reads as generic, and a proposal from scratch takes too long.

With the studio file, the AI drafts a custom proposal from your standard parts. It uses your phases, your deliverable types, your revision policy, and your scoping questions. It adapts them to the project brief.

Set one limit. The AI may place your documented price structure into a draft. You set the final number and the terms. The AI does not send a proposal, and it does not change a quoted price.

## Keep clients apart

Several active clients means several brand voices in one assistant. A tagline from Client A must never appear in Client C's draft.

Name the client at the start of each request. Store each project in its own folder. Do not paste one client's approved copy into another client's file as an example, unless you label it as format only. ## Set up the files and keep them current

The first setup takes a few hours. Write the studio file first: process, phases, price approach, and communication style.

Then add a project file for each new job. A new file takes 15 to 20 minutes: brief, brand context, and client profile. Update it as the work moves. Add the feedback you receive, the revisions you make, the copy the client approves, and the preferences that appear.

At project close, keep the final brief, the decisions, and the approved copy. Remove drafts that no longer carry a decision.
