# Keep one file per event so AI drafts never mix up clients, vendors, or dates.

You are running three events this month: a corporate gala, a wedding, and a product launch. The gala caterer emails to ask for the final headcount. You ask ChatGPT to draft a reply.

It returns general vendor advice. "Confirm headcount and dietary restrictions." "Reference your contract terms." "Provide final numbers 72 hours before the event."

It does not know this event's guest count. It does not know this caterer's requirements from past events with you. It does not know you have two other events that week and must keep their details apart. You end up pulling details you already wrote down so that you can send a two-line email.

This page shows how to give each event its own file, so that the assistant reads the right one before it drafts.

## Why a generic assistant cannot manage events

Every conversation starts blank. ChatGPT does not know:

- the current event: date, venue, guest count, budget, timeline;
- your vendor network: caterers, florists, AV, rentals, and what each needs from you;
- the client: style, dietary needs, must-have elements, budget priorities;
- your history: what worked at similar events, which vendors delivered, what went wrong;
- the overlap: several events at once, which must stay separate.

You can paste a timeline or describe the client's vision. When the florist writes about a different event, you explain that event from scratch. The information exists in your event folders, vendor contracts, and client intake forms. The assistant cannot tell which details belong to which event.

## What you need from the assistant

You need an assistant that knows every active event and keeps them apart.

When you answer the gala caterer, it should know the gala's headcount, dietary counts, service timeline, and budget. When you switch to the wedding, it should know the wedding's details and nothing from the gala.

It should know each vendor's process. Your florist works differently from your AV company. The assistant should adapt to each vendor.

It should follow your timeline, not generic "six months before: book the venue" advice. It should know when you send invitations, when deposits are due, and when you walk the site, for each event type.

It should match each client. The corporate gala client wants formal updates and budget tracking. The wedding couple wants frequent reassurance and style photos.

## Build the event files

Keep a folder of Markdown files, such as an Obsidian vault. Claude Code reads a file named `CLAUDE.md` at the start of each session. Use it as the index of active events and the master operations file.

Each event file holds five sections:

- the overview: date, venue, event type, guest count, budget;
- the client profile: style, priorities, concerns, communication preferences;
- the vendor list: who is contracted for catering, florals, AV, rentals, and photography, with deliverables, deadlines, and payment terms;
- the timeline and checklist: deposit dates, site walk dates, invitation dates, final headcount due date, and status;
- the budget: estimate against actual, by category.

The master file holds what applies to every event: your vendor network, standard timelines per event type, package descriptions, and business policies. Each event file refers to the master file and overrides it where the event differs.

The files change as the events move. When the guest count changes, update it. When a vendor confirms or the client approves a budget change, revise the file the same day. ## Before and after

### A caterer question

Before: the gala caterer asks for final menu selections. You open the event folder, check dietary restrictions, review the contract, and read your tasting notes. Then you draft the reply. About 15 minutes.

After: you prompt, "Reply to the caterer for EVT-1014. Confirm the menu selections and note that the gluten-free count rose to 18." The assistant reads the event file, the caterer's terms, and the client's preferences, and drafts the reply. You check it and send it in a few minutes.

### A florist text

Before: you are running a wedding and a product launch in the same week. The florist texts about delivery time. You stop to work out which event it is, check the calendar, open the file, confirm the setup timeline, and reply.

After: you prompt, "The florist asked about delivery time. Which event, and what is the window?" The assistant checks the active event files and finds that this florist is contracted for EVT-1017. It reads the setup schedule and drafts a reply with the right window. If the florist served two active events, the rule makes it ask you first.

### A new inquiry

Before: a prospect asks about a 200-person corporate event in June. You describe your packages, check availability, estimate pricing, and write a proposal. About an hour.

After: you prompt, "Draft a proposal for inquiry INQ-0611: 200-person corporate event, June 15, downtown venue." The assistant uses the corporate package in the master file and refers to similar past events for estimates. It checks your calendar notes for June and fills your proposal template. You add the personal touches and set the price. About 20 minutes.

## What changes when the assistant knows the events

Vendor coordination stops being a memory test. When a florist writes, the assistant knows the event, the venue, and the timeline. You answer the question instead of hunting for context.

Timeline questions get fast answers. "What is due this week across all events?" "When is the final headcount due for the wedding?" "Which vendors have not confirmed?" Client updates fit the client. The gala client gets a formal budget report. The wedding couple gets a reassuring progress note with inspiration photos.

Budget tracking stays current. When a client asks to add uplighting, the assistant checks the budget file, estimates the effect, and says whether it fits or needs approval. When a vendor sends an invoice, the assistant knows which event it belongs to.

Past events become reusable. "Show me every corporate event at this venue." "What did catering cost for the last 200-person gala?" "Which weddings went over budget, and why?" Link each finished event folder, and the assistant reads it for better estimates.

## What this is not

This is not event management software. You do not migrate to a platform or connect a CRM. You write files that tell the assistant what it needs to know about each event.

Claude Code runs in a terminal or in the Claude desktop app. It needs a paid Claude plan or an API account; the free plan does not include it ([Claude Code: Advanced setup](https://code.claude.com/docs/en/setup), checked 2026.09.25). It sends the content it reads to the model provider over the network ([Claude Code: Data usage](https://code.claude.com/docs/en/data-usage)). Keep guest names, dietary and medical details tied to names, and payment information in your registration and payment systems. Use counts and IDs in the event files.

## Approval stays with you

The assistant drafts vendor replies, client updates, and proposals. You send them. It does not sign a contract, confirm a count to a vendor, or promise a price on its own.
