# Keep panel and jurisdiction records your AI reads so bids match the job and the code.

You bid a panel upgrade. You cannot remember whether this jurisdiction requires AFCI protection on all circuits or only bedrooms. Your notes from the last inspection are on a job sheet somewhere in the truck. By the time you find them, you have given the customer a number that may be six breakers short.

A chat assistant resets between conversations. It does not know the service entrance at that address or which circuits you already upgraded. It does not know that the local inspector checks conduit fill more closely than most.

A set of plain files keeps that record. Panel schedules, load calculations, code notes by jurisdiction, inspector preferences, and supplier part numbers go into text once. Claude Code reads them when you name the property.

## What an electrician needs the assistant to remember

Panel layouts depend on the building's age and past work. The 1970s house has a split-bus panel with no main disconnect. The 1990s build has 200-amp service, but the subpanel is only 100 amps. The new build has a smart panel with per-circuit monitoring. You photograph these, but a photo does not link to a load calculation or a parts list.

Circuit mapping takes time. During a service call you label which breaker feeds the garage, where the junction boxes are, and which circuits share a neutral. Lose that map and you tone-trace from scratch on the next visit.

Code requirements change with location and adoption year. One jurisdiction enforces a newer NEC edition, a neighboring one enforces an older edition, and a third has local amendments on generator interlocks. You know this because you work there every week. The assistant knows it only if you write it down.

Equipment compatibility matters. A Square D QO panel takes QO breakers, not Homeline. Some smart dimmers need a neutral wire. Some smart switch systems need a specific hub. Generic advice fails when parts are not interchangeable.

## The load calculation problem

A service upgrade needs a load calculation based on square footage, appliances, HVAC, and planned additions. You run the numbers. Six months later the customer wants a hot tub, and you redo the math instead of updating the existing calculation.

Derating depends on conduit fill, ambient temperature, and bundling. The six-conductor run through a 130°F attic needs an adjustment. The twelve-wire bundle to the subpanel lowers ampacity. The record holds the derating you applied, so you do not start from zero.

Panel capacity is more than the main breaker rating. It includes open spaces, continuous loads, and the 80 percent rule for continuous loads. A 200-amp panel can be effectively full even when the breaker math says otherwise. The assistant needs the actual circuit list to give useful advice.

## How the files work

Keep a folder of Markdown files. Obsidian is a free editor for such a folder; any text editor works. At the root, put `CLAUDE.md`, which Claude Code reads when a session starts:

You mention a property, and the assistant reads the service size, the panel brand, the last upgrade date, and which circuits have AFCI protection.

After each job, update the property file: circuits added, panels replaced, load calculation revised, inspection notes. The next bid at that address starts with the record. You do not search the truck or scroll through photos.

The structure scales. A solo electrician can keep everything in one folder. A crew can split files for jobs, equipment inventory, code references, and apprentice training notes.

## The property record

Each property record holds the service entrance size and the main panel's brand, model, rating, spaces used, and spaces open. It also lists any subpanel. A circuit-by-circuit table gives breaker size, wire gauge, and load served.

Existing issues tell you what needs attention beyond the current scope. The history matters for warranty and for inspection. The permit number and inspection date answer a customer who needs documentation for a refinance, without a call to the permit office.

## Code notes by jurisdiction

The jurisdiction file holds the adopted code edition, local amendments, and inspector preferences. In some states the electrical code is adopted statewide with state amendments; elsewhere a city or county adopts its own edition. Record which applies, the source, and the date you checked it.

Generator rules vary: one jurisdiction accepts an interlock, another requires a transfer switch. Your notes stop you from bidding a solution that will not pass. When the assistant answers a code question, it cites your note and its date. Confirm against the adopted code before you commit to a price.

## Equipment and parts

Breakers are not universal. Check the panel label for the breaker types listed for that panel. Record them in the property file, so you stock the right parts before you leave the shop.

Smart devices have conditions: a neutral wire, a minimum load, a hub, or a 2.4 GHz Wi-Fi network. Record them per product so you do not troubleshoot compatibility on site.

Wire and conduit depend on the application. For one job, the record notes 2/0 copper service conductors in 2-inch conduit for a 200-amp dwelling service. The garage feed is 3 AWG copper in 1-1/4-inch EMT. Exact notes make material orders accurate.

Supplier notes say which supply house to call for which lines and who has same-day will-call. They also list the items that need lead time. Examples are a 400-amp meter base that takes a week, a three-phase disconnect on special order, and a smart panel that requires dealer registration. The assistant flags lead times during estimating so you do not promise a date you cannot meet.

Truck stock lives in `parts/stock.md`: twelve 20-amp AFCI breakers, eight 15-amp GFCI receptacles, five boxes of 12/2 NM cable. The assistant checks stock before it suggests a supply house run.

## Cost and payback

Setup is a one-time job: install Claude Code, create the folder, and write the templates. Claude Code needs a paid Claude plan or an API account; the free plan does not include it ([Claude Code: Advanced setup](https://code.claude.com/docs/en/setup), checked 2026.09.25). That plan is the recurring cost.

Compare that cost with the cost of the failures the files prevent:

- a wasted trip because the truck carried QO breakers for a Homeline panel;
- a callback because the panel was full;
- a failed inspection from a missed amendment.

The files pay back when you stop recalculating loads for properties you already served. They pay back again each time you read the inspector notes before you call for a final.

## Limits

The assistant drafts bids, parts lists, and notes. You size conductors, sign load calculations, pull permits, and certify work. Final code decisions stay with the licensed electrician.
