# Keep client files your AI can read so session prep starts from the whole history.

Coaching depends on memory. You recall what a client said three sessions ago and connect it to what they say today. You notice patterns they cannot see. You hold their history while they live in the present, and you reflect back the threads that show where they are stuck.

A chat assistant cannot do that alone. It meets your client for the first time in every conversation. It has no record of breakthroughs, recurring themes, or the change you support. That limit does more than reduce its usefulness. It runs against how coaching works.

This page shows how to keep the history in files that the assistant reads, so that it can support your preparation and notes.

## Why coaching needs a record

Chat assistants handle single tasks well: answer a question, draft a template, explain a concept. Those tasks need no history. The context arrives with the request and leaves when the task ends.

Coaching is not a single task. Session six builds on sessions one through five. The resistance that shows up today connects to something the client said in week one. Progress is visible only against the starting point.

When you ask the assistant for help with a client, it needs that client's goals, patterns, language, and growth edges. Without them you get generic coaching advice. Your client can find generic advice with a search engine. They pay you for accumulated understanding.

## What the record makes possible

### Session preparation

Before a call, ask for a client briefing. The assistant reads the client's files and returns stated goals, recent wins, open challenges, patterns you noted, and commitments from last session. You start the call prepared instead of scanning notes in the last five minutes.

### Session notes

After a session, you dictate or type the key points. The assistant knows your note format, the themes you track, and how you structure observations. It drafts the note the way you think.

### Pattern questions

Over months, the logs build up. Ask which themes recur. Ask what language the client uses when they avoid something. Ask where their stated intentions diverge from their actions. The assistant can compile the logs faster than you can reread them. Treat each pattern it names as a hypothesis for you to test in the next session, not as a finding.

### Between-session support

Create exercises, reflection prompts, or check-in messages. The assistant knows the client's current focus, the frameworks you use, and how the client responds to each approach. The output fits the person.

## Build the coaching folder

Claude Code reads a file named `CLAUDE.md` when a session starts. Use it to describe your practice and point to three kinds of files:

A client profile holds background, goals, key sessions, patterns you observed, and current focus. The method folder holds your frameworks, assessment tools, exercise templates, and the words you use for common concepts. The session logs are running notes, searchable and dated.

When you work on a client, name the client ID. The assistant reads that folder and sees the whole arc, not only today's question. Session notes are not transcripts. A pattern entry can look like this:

## Four scenarios

### The stuck client

A client hits the same wall for the third session. You ask what resistance patterns you logged across their history. The assistant reports that this block appears whenever the goal depends on outside validation. You did not have to search through a year of notes to find it.

### The accelerating client

A client makes fast progress, and you want to capture what works. You ask what changed between their plateau and their current momentum. The assistant compares their language, actions, and outcomes across sessions and proposes a pivot point for you to confirm.

### Program design

You plan a group program. You ask what challenges past clients shared at similar stages. The assistant compares de-identified histories and lists the common patterns. Your program design starts from your own records.

### A testimonial request

A client has had significant results. You ask the assistant to summarize the arc: where they started, key breakthroughs, and where they are now. It drafts the summary you use to ask for a testimonial, grounded in documented progress. The client sees and approves any words attributed to them.

## Confidentiality comes first

Coaching clients share deeply personal information. Professional coaching codes treat confidentiality as a core duty. Standard 2.1 of the [ICF Code of Ethics](https://coachingfederation.org/credentialing/coaching-ethics/icf-code-of-ethics/) asks for "the strictest level of confidentiality with all parties involved" (checked 2026.09.25).

Some guides say a local assistant keeps everything on your machine. That is wrong for Claude Code. Anthropic's data usage page says Claude Code runs locally but sends prompts and model outputs over the network. Set four rules before you start:

1. Tell clients in your agreement that you use an AI assistant for notes and preparation. Record the consent date in the profile.
2. Use client IDs. Keep names and contact details in your scheduling or billing system.
3. Keep health information and third-party details out of the notes unless you have a clear basis to hold them.

Keep each client's folder separate so that one client's story never appears in another's briefing. The method is in [separate client context before an agent touches the work](/articles/separate-client-context-before-agent-work). Coaching is not therapy. If notes suggest a clinical concern, the assistant flags it for you and you decide on a referral.

## Test the folder before a client call

Run three checks in a fresh session.

1. Ask "Brief me on C-017." Pass: the briefing lists the stated goals, the last commitments, and the named patterns with their session numbers. Fail: it returns generic coaching prompts.
2. Ask "Which patterns has C-017 shown more than twice?" Pass: the answer names the pattern and the sessions it came from. Fail: it names a pattern with no session reference.
3. Ask about C-017 while another client's folder is open. Pass: the assistant asks which client you mean. Fail: it mixes the two histories.

A fail on the second check means the pattern file lacks session references. Add the session number and date to each entry.

## The capacity question

Coaching has a structural ceiling: your hours are finite, and each client needs some of them. The record moves that ceiling.

Preparation and notes take a smaller share of the time between calls. Pattern work moves from your memory into files you can search. None of this replaces the coaching relationship. It supports the parts of the practice that do not need your direct presence but consume your time today.

## The upfront work

Building the record means writing down what you already know: goals, patterns, session highlights. It takes time at the start. You likely keep some notes already. The change is to organize them where the assistant can read them, and to maintain them as a habit.

The return grows with use. Each logged session makes the next briefing better. Each named pattern becomes available for later sessions. Your practice gains a record that holds more than you can hold in your head.
