# Give your AI each client's chart of accounts so categorization answers fit the books.

You keep the books for eight clients, and each one runs differently.

Client A is a retail store. It records shipping costs as cost of goods sold (COGS). It reconciles weekly. It wants a profit and loss statement (P&L) by the 10th.

Client B is a consulting firm. It tracks expenses by project with QuickBooks classes. Its CPA wants quarterly reports.

Client C is a restaurant. It splits tips between front of house and back of house. It tracks food cost apart from labor. It closes the books monthly on the 5th.

You have Client B's books open and ask ChatGPT, "Which account should I use for software subscriptions?" It suggests "Office Expenses" or "Software & Technology." Both are wrong for Client B, which uses "Operating Expenses: Technology" and a project class. The assistant would know that only if it knew which client's books were open.

## Why a generic assistant fails a bookkeeper

Bookkeeping is not one system. It is eight businesses with eight setups. Each client has its own:

- chart of accounts, from 10 categories to more than 50;
- categorization rules, such as shipping as COGS for one client and as an operating expense for another;
- software: QuickBooks Online, Xero, FreshBooks, or Wave;
- reporting schedule: weekly, monthly, or quarterly;
- reconciliation schedule: daily, weekly, or monthly;
- tax situation: S corporation, LLC, or sole proprietor, in different states.

Generic advice says, "Categorize meals under Meals & Entertainment." Client A splits client meals from employee meals because the tax treatment differs. Client C records food purchases as COGS because it runs a restaurant. Each time you ask, you explain the client, the chart, and the rule. By then you could have categorized the transaction yourself.

## What the assistant needs to know

You do not need AI to do the bookkeeping. You need it to know which client is open and how that client's books are set up:

- the client profile: entity type, industry, fiscal year end;
- the chart of accounts and its structure;
- the categorization rules for recurring expenses;
- the software, the bank feeds, and the integrations;
- the reporting deadlines;
- the reconciliation schedule;
- the tax notes that affect categorization.

Then "Which account for this Stripe fee?" gets the right account and the right COGS or operating expense treatment. "Draft a note about this uncategorized transaction" gets the client's tone and schedule.

## Set up one file per client

Put a short `CLAUDE.md` at the root of your practice folder. Claude Code reads it when a session starts. Use it as a registry and a rule set:

Each client file holds seven sections:

Operating account weekly. Cards monthly. Loan accounts quarterly. Petty cash when used.

S corporation: owner distributions are not wages and are not deducted as wages.

Plan three to four hours for the first eight clients. Add a section when you onboard a client. Update the chart when a client changes it. The file grows with the practice.

A mid-year chart change needs an effective date. Suppose BK-B merges 6150 into a new 6100 Software account on April 1. Keep the 6150 line, mark it retired, and add `2026-04-01: 6150 merged into 6100`. The assistant then names 6150 for a March charge and 6100 for an April charge. Without the date, it applies the new account to a month you already closed.

## Before and after: one subscription charge

### Before

You ask: "Which account should I use for this Zoom subscription?"

The assistant answers: "Software subscriptions are typically categorized under 'Software & Technology' or 'Office Expenses.' Check your chart of accounts to see which one you use."

It does not know the client or the chart.

### After

You ask: "Which account for this Zoom subscription for BK-B?"

The assistant answers: "For BK-B, use 6150 Operating Expenses: Technology. Assign Class: General Operations, because it is not billable to a project. This matches the SaaS rule in the client file."

## Before and after: a note to the restaurant

You ask: "Draft an email to BK-C about this week's uncategorized transactions."

The assistant drafts:

The informal tone, the inventory or supplies question, and the close date all come from the BK-C file. The inventory question matters because the restaurant separates food cost from supplies. The amounts come from the bank feed when you review the draft.

## Build the folder

1. Install Claude Code. It needs a paid Claude plan or an API account; the free plan does not include it ([Claude Code: Advanced setup](https://code.claude.com/docs/en/setup), checked 2026.09.25).
2. Create a practice folder. Obsidian is optional and free to download.
3. Write `CLAUDE.md` with the client registry and rules.
4. Add one client file with the profile and the chart of accounts.
5. Add the categorization rules for that client.
6. Add the software, feeds, and integrations.
7. Add the reporting schedule and the reconciliation checklist.
8. Add the tax notes.
9. Repeat steps 4 to 8 for each client.

## Test it before month-end

Ask three questions in a fresh session.

1. "Which account for a Stripe fee?" with no client named. Pass: the assistant asks which client. Fail: it answers anyway.
2. "Which account for a Stripe fee for BK-A?" Pass: it cites BK-A's rule. Fail: it cites BK-B's rule or a generic one.
3. "What reports are due this week?" Pass: it lists deadlines from the client files. Fail: it invents a schedule.

Run a fourth check at the first month-end. Pick five transactions you already categorized and ask the assistant to categorize each one for the same client. Compare its answers with yours. A mismatch has one of two causes. You never wrote the rule down, or the file states it in a way the assistant reads differently. Write the missing rule, or rewrite the unclear one, and run the five transactions again.

## What the assistant does not do

The files do not reconcile accounts. They do not categorize transactions on their own. They do not file taxes. You review each transaction, make each categorization decision, and close the books. The assistant stops forgetting which client is open and how that client's books work.

Claude Code sends the content it reads to the model provider over the network. [Claude Code: Data usage](https://code.claude.com/docs/en/data-usage) Keep bank account numbers, tax identification numbers, and statement images out of the client files. ## Who this fits

The pattern fits a freelance bookkeeper with 5 to 15 clients and a bookkeeping firm where several staff share clients. It also fits an in-house bookkeeper who keeps books for several entities or departments.
