# Keep vehicle history in a file your AI reads so repeat repairs start from the record.

A regular customer pulls in with a check engine light. You worked on this truck six months ago. You cannot remember whether you replaced the O2 sensor or only cleared the code. Your shop management software shows the invoice total, not the diagnostic notes. The customer asks if this is the same problem, and you are not sure.

A chat assistant cannot help. It does not know this vehicle's repair history, which parts failed before, or that the customer declined the transmission service you recommended last visit.

A set of plain files fixes that. Each repair, each declined service, and each quirk of a vehicle goes into a record once. Claude Code reads the record when you name the customer or the VIN.

## What a shop needs its AI to remember

History decides the next step. A 2015 Honda Accord came in three times for brake noise. You replaced the pads, then resurfaced the rotors, then swapped the calipers. Now it is back. You need that sequence so you do not repeat a fix that did not hold.

Patterns repeat across your customer base. You see the pattern after ten similar vehicles, but only if you log them.

Customer preferences change the recommendation. One customer wants OEM parts only. Another accepts aftermarket parts to save money. A third plans to trade the vehicle next year and does not want expensive preventive work. If you forget, you negotiate again at every visit.

Technical service bulletins (TSBs) and recalls apply by VIN range. The Takata airbag recall covers some build dates and not others. A transmission software TSB can cover specific production months. Your records show which vehicles in your base need attention.

## The diagnostic pattern problem

Intermittent faults need notes across visits: the cold-start misfire, the transmission slip after highway driving, the stall that happens once every two weeks. Without the earlier notes, you start over.

Failed parts can point to a system fault. The alternator died at 60,000 miles. Now the battery is weak at 65,000. That may not be bad luck. A voltage regulation fault can damage both. You see it only when the record shows what failed and when.

Manufacturer programs affect diagnosis and liability. The GM ignition switch recall is one example. Your records note which customer vehicles fall under an open program.

## How the files work

Keep a folder of Markdown files. Obsidian is a free editor for such a folder, and any text editor works. At the root, put `CLAUDE.md`. Claude Code reads that file when a session starts. Tell it where the vehicle records live:

Claude Code reads the other files when the task needs them. You mention a customer, and the assistant finds the make, model, year, service history, last mileage, and the work they postponed.

After each job, update the record: parts replaced, labor time, codes, test results, recommendations, and the customer's decision. The next visit starts with the history in view.

The structure scales. A single-bay shop can keep everything in one folder. A multi-tech shop can split records for vehicles, model patterns, parts inventory, supplier notes, and equipment maintenance.

## The vehicle record

The declined list is the part most shops lose. When the customer returns, you quote what was due, not only what was done. Quirks separate good diagnosis from repeat guesswork. Examples are the stereo that drains the battery, normal oil consumption for this engine, and the noise that an alignment cured.

## The pattern log

The pattern log holds failures by make, model, and year range as you observe them. Each entry names the symptom, the fix, the bulletin number, and how often the fix held.

Two documented examples show the format. The Ford Focus used a dual-clutch automatic from the 2012 model year. Shudder complaints led to software updates, and in 2019 Ford extended clutch coverage on 2014 to 2016 cars. The Jeep Cherokee nine-speed automatic, on sale from late 2013, received many software updates through 2016. When a Focus arrives with shudder, your entry holds the bulletin number and the result of each fix you tried.

Write only what you confirmed in the bulletin or saw in your bays. A pattern entry without a source is a rumor with a file name.

Maintenance intervals differ by manufacturer and by the vehicle's maintenance reminder system. Record the interval from the owner's manual and what the customer actually does, so that recommendations fit their driving.

## Parts sourcing and inventory

Your supplier notes matter when margins are thin:

Brand preference depends on the application. Many shops use the OE brand where fit matters: ACDelco for GM, Motorcraft for Ford, Aisin for Toyota transmission parts. Record your preferences from the failure rates you observed, not from catalog copy.

Keep truck and shelf stock in a file. Suppose you hold two sets of Accord pads, three F-150 oil filters, and one Camry serpentine belt. The assistant checks that list before it suggests a parts run.

## Diagnostic checklists by symptom

A checklist file per symptom keeps your sequence consistent.

A check engine light checklist has seven steps. Pull the codes and check freeze frame data. Inspect related sensors and verify the wiring. Test the component, clear the codes, and retest. A P0420 on one make can need different steps than the same code on another, so the checklist holds the make-specific sequence.

For a no-start: verify fuel pressure, spark, battery voltage, and starter operation, then confirm the security system status. Record the make-specific systems: GM Passlock, the Honda immobilizer, Ford PATS.

For a transmission slip, check fluid level and condition, and scan for codes. Then perform a stall test, inspect for leaks, and test line pressure. Keep CVT procedures separate from conventional automatic procedures.

## Customer communication notes

Some customers want every detail. Others want the total and a yes or no on whether the car is safe to drive. One customer needs a spouse's approval before work starts. A fleet account has pre-approved spending limits. The record holds each preference.

Warranty coverage affects the estimate. An extended warranty can cover the powertrain but not wear items. It can carry a deductible per visit and expire at a set mileage. The assistant surfaces those terms when you draft an estimate. You confirm them with the warranty provider. ## Cost and payback

Setup is a one-time job: install Claude Code, create the folder, and write the starter templates. Claude Code needs a paid Claude plan or an API account. The free plan does not include it ([Claude Code: Advanced setup](https://code.claude.com/docs/en/setup), checked 2026.09.25). That plan is the recurring cost.

Compare that cost with one misdiagnosis on a part you already replaced. One parts run for a part on your own shelf can also cost a day. The files pay back when an intermittent fault no longer starts from zero.

## Limits

The assistant suggests. You diagnose, road test, and sign off. It does not order parts or message a customer on its own. Customer approval for work stays with you, and the rule for outbound messages is in [who approves what an AI agent sends](/articles/who-approves-what-an-ai-agent-sends).
