# Diagnose disappearing AI chat history and keep the context in files.

Yesterday you had a productive conversation with an AI assistant. You explained your business, your writing style, and your preferences. Today you come back and it is gone. Sometimes the chat itself is gone. More often, the chat is still there, but the understanding is not.

"History disappears" describes three different failures. Each one has a different cause and a different fix. Diagnose which one you have before you change settings or switch tools.

## Loss 1: the chat is gone from the list

The conversation no longer appears in the sidebar or the history list. Check these causes in order:

1. You are signed in to a different account, workspace, or project.
2. A filter, sort order, or search hides the chat.
3. The chat moved into a project or folder.
4. The chat ran in a temporary or incognito mode that does not save history.
5. You or an administrator deleted it, or a retention policy removed it.
6. The product has a service or interface problem.

Temporary modes cause many of these reports. Several products offer a chat mode that does not save the conversation to history. Retention rules also differ by product and plan. For one example, Perplexity's help center describes incognito sessions that expire after twenty-four hours. The guide to [Perplexity memory and missing history](/articles/perplexity-memory-across-conversations-missing-history) covers those rules and the recovery steps.

If the provider says a deleted or expired chat cannot be recovered, believe it. Look for copies instead: exports, files you created from the chat, links you shared, and documents that quote it.

## Loss 2: the chat is there, but the model lost the start

The conversation is still on your screen, and you can scroll up to the explanation you gave an hour ago. The assistant answers as if it never saw it.

This is the context window. A model can use only a fixed amount of text for each response. When a conversation passes that limit, the product drops or compresses the oldest messages. The interface still shows them to you, but the model no longer receives them.

This creates an unfair pattern. The longer and more valuable a conversation becomes, the more likely the model is to lose the context that made it valuable. The fix inside one chat is a checkpoint: a short written record of the current state that you carry into a fresh session. The guide to [preserving working state when ChatGPT forgets in the same chat](/articles/why-chatgpt-forgets-same-chat) gives the checkpoint format.

## Loss 3: a new chat starts without the old one

You open a new conversation, and the assistant knows nothing of last week's work. The old chat still exists. The new chat does not load it.

Chat interfaces store your messages. That part works. By default, they do not turn those messages into standing knowledge for the next conversation. Each conversation starts a new working set.

Some products now carry selected information across chats. ChatGPT, for example, can save memories and can reference past chats when those settings are on. The product chooses what to keep and when to use it. The guide on [how to make ChatGPT remember previous conversations](/articles/make-chatgpt-remember-previous-conversations) explains those controls and their limits.

## Match the fix to the loss

| Symptom | Loss | First action | Durable fix |
|---|---|---|---|
| The chat is not in the list | Loss 1: stored chat missing | Check account, filters, projects, and mode | Export chats that matter; keep conclusions in files |
| The chat is there, but the model forgets its start | Loss 2: context window overflow | Write a checkpoint and continue in a new session | Keep standing context in a file that loads each session |
| A new chat knows nothing of the old one | Loss 3: session boundary | Check the product's memory settings | Load a context file at session start |

A single problem can involve two losses. A long project chat can overflow its window and later expire under a retention rule. Record which loss you saw, with the product, plan, mode, and date. That record helps the next time, and it gives support staff the facts they need.

## What the losses cost

Most people do not see the cost until they add it up.

Take one example. You spend five minutes to re-explain the business, two minutes to restate preferences, and ten minutes to correct output that ignored your style. That is seventeen minutes per conversation. At five such conversations a day, it is about seven hours a week.

Output quality is the larger cost. A draft from an AI that knows your voice, clients, and goals is close to usable. A draft from an AI that meets you for the first time is a starting point that you rebuild.

## What does not fix it

Product memory helps at the margin. It can keep a handful of facts about you: your name, your role, a few preferences. It does not hold the depth that business work needs. That depth is your frameworks, past decisions, client details, and operating knowledge, each with a source.

Custom instructions help more, but they are short. As checked on 2026.09.19, OpenAI allowed 1,500 characters for Free and Go accounts and 5,000 for paid plans. Source: [ChatGPT Custom Instructions](https://help.openai.com/en/articles/8096356-chatgpt-custom-instructions). An owner who tries to fit the business into that space runs out of room early.

Copy and paste from old chats works, but it makes you the memory system. You assemble context by hand every time.

Chat history is also not a record of truth. An old chat contains drafts, rejected ideas, and facts that have since changed. The article [your AI has chat history, not business memory](/articles/chat-history-is-not-business-memory) explains why a transcript cannot decide which statement is current.

## Keep the context outside the chat

The durable fix is a set of files that live outside any chat and load at the start of each session.

Give the AI a filing cabinet about the business. It holds context files that the AI reads first. The files cover your business model, your client list, your preferences, and your past decisions with the reasons for them.

Tools such as Claude Code load a `CLAUDE.md` file at the start of each session. Anthropic's page [How Claude remembers your project](https://code.claude.com/docs/en/memory) states that each Claude Code session begins with a fresh context window. It also states that `CLAUDE.md` files carry instructions across sessions. With a Markdown notes app such as Obsidian, the same folder can hold the rest of your operating knowledge.

Chats can still disappear. The understanding stays, because it lives in files that each new session reads.

## Move one conversation into a file

Start with the conversation you most want back.

1. Open it, or its export, if it still exists.
2. List the facts, decisions, and preferences that you want every future session to know.
3. Drop drafts, rejected options, and anything that has since changed.
4. Write the remaining items into a context file with a date on each changeable fact.
5. Start a new session, load the file, and ask a question that depends on it.
6. Correct the file until the answer is right.

Repeat for the next conversation that matters. After a few rounds, you stop depending on chat history for anything important.

With context in files, you can reference a project from six months ago without an explanation. You can ask for analysis that depends on old decisions. You get first drafts that sound like you, because the file tells the AI how you write.
