# Give your AI assistant a business context file that ends the daily re-briefing.

You have explained your business model to ChatGPT dozens of times. Each chat starts the same way: "I run a service business. I have four clients. Here is what I do for each one."

The output still ignores your real offer, your real clients, and your real voice. The assistant does not keep that record for you. You onboard a new assistant every morning.

This page shows how to move that briefing into files that Claude Code reads before it writes. You write the files once and correct them when the business changes.

## What memory means for a business assistant

ChatGPT has memory features. It can save some facts and refer to some past chats. You cannot control which facts it applies to a given conversation, and you cannot review the whole record as one maintained document. A business assistant needs a different kind of record. It needs these facts before each task:

- who your clients are, with industry and primary contact;
- what you sell, as packages and scope;
- how you communicate, as voice rules;
- where each project stands, with deadlines and deliverables;
- what matters this week, with priorities and blockers.

That record must load without a paste. It must also stay readable by you, so that you can correct it.

## Before context: a generic proposal

The proposals, client emails, and weekly workload below are synthetic examples, not client results.

You ask ChatGPT: "Write a proposal for a new website project."

It returns something like this:

> Thank you for considering our services. We're excited to partner with you on your website project. Our team will deliver a modern, responsive website that meets your business needs.

> **Scope of Work:** custom website design, responsive layout, content management system, SEO optimization
>
> **Timeline:** 8-12 weeks
>
> **Investment:** Contact us for a custom quote

You cannot send that. You must replace "our services" with your service name. You must change the deliverables, add your real price, correct the timeline, and rewrite the voice. Ten minutes of edits on a 200-word draft is not assistance. It is extra work.

## After context: a proposal from your own facts

Now the assistant starts in a folder with a `CLAUDE.md` file. The file holds four facts:

- the business name;
- the service: static site builds, no CMS, one flat project price stored in `offer.md`;
- the typical timeline: six weeks from approval to launch;
- the proposal voice: direct, no filler, lead with speed and simplicity.

The same prompt now returns this draft for a welding supply client, `CLIENT-A`:

> **Website build for CLIENT-A**
>
> Fast, clean site. No database and no CMS to maintain. Plain HTML and CSS that load quickly.
>
> **What you get:** homepage, services page, about page, contact page, mobile-first layout, and a safety resources page that sets you apart from competitors. Hosting on a static host with automatic SSL.
>
> **Timeline:** 6 weeks from approval.
>
> **Price:** the flat project price from `offer.md`. No hourly billing.
>
> Reply with approval and I will send contracts this week.

You change one sentence and send it. The client, scope, timeline, voice, and price source are correct because the assistant read your business context before it wrote.

## Why the output changes

The model did not get smarter. The input got larger and more specific.

ChatGPT received one line: the prompt. Claude Code received three layers:

1. the prompt;
2. the business context in `CLAUDE.md`, which loads when the session starts;
3. the client file, which a rule in `CLAUDE.md` tells it to read when the prompt names a client.

Anthropic documents that Claude Code loads `CLAUDE.md` at the start of a session and that the file can import other files with `@path` syntax. ## Three business jobs that change

### Client follow-up

Without context, you type "Draft a follow-up on the proposal I sent." You then add the client name, the proposal details, the timeline, and the next step yourself.

With context, you type "Draft a follow-up on the CLIENT-A proposal." The assistant reads `clients/client-a.md` and writes:

> Subject: CLIENT-A website: next steps?

> I am checking in on the website proposal I sent last week. It covers the full build at the flat price we discussed, six weeks from approval.
>
> If you are ready, I will send contracts this week and we can start on Monday.
>
> [Your name]

The contact, company, price reference, timeline, and direct voice all come from files.

### Content for a client with rules

Without context, "Write a blog post about cryotherapy benefits" returns a generic health article. It uses the wrong voice. It makes medical claims the client cannot make. It misses the target keywords.

With context, you name the synthetic wellness client, `CLIENT-B`. Its file tells the assistant to:

- use the brand voice, professional but approachable;
- avoid medical claims and speak about recovery and wellness;
- include the target keywords: recovery, inflammation, athletic performance;
- mention the real services: whole-body cryotherapy and infrared sauna;
- teach first and sell second.

You still edit. You polish instead of rewrite.

A separate synthetic example covers a two-person studio writing for a dental office, a landscaping company, and a bakery.

For the dental office, the client file records:

Ask for a post about scheduling cleanings. The draft must follow the voice and format, without inventing a treatment claim. The dentist supplies and checks clinical facts. You still edit for accuracy, instead of rewriting the client's voice from scratch.

### Weekly workload

Without context, "What is my workload this week?" returns "I don't have access to your calendar or task list."

With project files, the same question returns a summary like this:

> **Priorities:** CLIENT-B posts (deadline), CLIENT-A approval (blocks the next phase), CLIENT-D revisions (short task).

The assistant builds the summary from deadlines and status lines that you keep in the project files. It does not read a calendar you did not connect.

## Build the files

Keep proposal, email, and invoice formats in `templates/`. Ask for this week's task list from the project records. An approval blocker must stay a blocker, even if Friday is approaching. For an invoice draft, read the accepted scope, billing milestone, and current price source. Confirm completed work and amounts in your accounting system before you issue it. Keep payment details there.

Update the files when reality changes: a new client, a changed offer, a finished project. A correction that you make in chat and never write into a file comes back next week.

## The 150-minute first setup

The hour, hour, and final half-hour below total 150 minutes. Plan more time if you need to recover missing records.

1. First hour: write WHO, SERVICES, and VOICE in `CLAUDE.md`; date the price source.
2. Second hour: create the client and active-project files. Add proposal, follow-up, and invoice templates.
3. Final 30 minutes: check client details, proposal scope and price, email facts, and the task list against their sources.

A correction belongs in the file that holds the missing fact. Update prices, client status, and deadlines when they change. File separation helps you select the right client; it does not prevent the model from opening the wrong file. Check for cross-client facts during review.

## Run the two-minute test

Run three questions in a fresh session after you build the files.

1. Ask "Who are my clients?" Pass: the assistant lists them with details from `clients/`. Fail: it says it has no information.
2. Ask "What do I charge for [service]?" Pass: it quotes `offer.md`. Fail: it says "it depends" or gives a market range.
3. Ask "Draft an email to [client]." Pass: it uses your voice and the right details. Fail: it writes a generic email.

A fail usually means the session started in the wrong folder, or the rule that points to the client file is missing.

## Why this matters more in a small business

A large company splits the work. One person writes proposals, one writes content, one manages clients.

A small business owner does all of it. AI can help with each role, but only when it has the business record. Without that record, you spend more time on edits than the draft saves. With it, the assistant acts like a team member who knows the clients, the offer, the voice, and the week. ## Limits and approval

The assistant drafts. You send. Keep proposal terms, prices, and client commitments under your review before anything leaves your outbox.

Claude Code runs on your computer, but the model does not. Anthropic's data usage page states that Claude Code sends prompts and model outputs over the network. [Claude Code: Data usage](https://code.claude.com/docs/en/data-usage) A file the assistant reads becomes part of that traffic. The file stays on your disk, but retention and training terms for that traffic depend on your plan. Keep passwords, payment details, and client secrets out of the context files.
