# Email preference center: newsletter choices for real estate agent websites

An email preference center lets subscribers update their profile and choose interests within your email audience. Mailchimp bases those choices on audience groups. [Mailchimp's preferences-center guide, checked 2026.10.14](https://mailchimp.com/help/create-a-preferences-center/).

For an agent website, specify the market areas, subjects, and delivery choices subscribers can select. Then require proof that the saved choices affect campaign selection. Keep a separate way to stop all marketing and a direct route to ask about buying or selling.

Use the proposed brief below with your email-account administrator and website provider. The examples describe a design to approve, rather than an installed newsletter system.

## Choose fields that match the website pages you maintain

Mailchimp groups collect contact-facing interests and preferences. Tags serve internal organization. Subscribers can choose groups through signup forms, update-profile forms, or a preferences center. [Mailchimp's groups guide, checked 2026.10.14](https://mailchimp.com/help/getting-started-with-groups/).

Ask the agent to approve a short menu using the areas served and content available on the website. Use this starting worksheet:

| Proposed choice | What the subscriber selects | Website destination to specify |
| --- | --- | --- |
| Market areas | Named cities or neighborhoods the agent covers | A maintained page for each selected area |
| Subjects | Market updates, seller preparation, or buyer guidance | The matching explanation and service inquiry route |
| Delivery | A regular digest or a less frequent summary | Public wording that states the schedule the business can maintain |
| Stop marketing | An explicit option to stop all sender marketing | The email vendor's unsubscribe route |

Let subscribers choose multiple areas if the approved content plan supports that choice. Keep area names identical across the form, email audience, and website. Ask the agent to review ambiguous boundaries before publishing the menu.

Use market-area selections as content interests. Keep representation questions separate. Someone choosing buyer guidance should still be able to ask about selling a property.

Do not publish a frequency option until the administrator defines which campaigns it permits. If the business can maintain only one schedule, state that schedule and offer topic choices instead.

## Connect the saved choice to the sending rule

Mailchimp stores group preferences in subscriber profiles. Group data can then filter subscribers into segments. [Mailchimp's group-data documentation, checked 2026.10.14](https://mailchimp.com/help/getting-started-with-groups/).

Its campaign builder supports group conditions that match one, all, or none of the selected group names. Additional conditions can narrow the segment. [Mailchimp's group-send instructions, checked 2026.10.14](https://mailchimp.com/help/send-groups-audience/).

Ask the administrator to write the rule for each proposed campaign. Record the selected area, subject, frequency, and subscription status beside the expected recipient set. Agree what happens when an existing subscriber has no frequency selection.

For a less frequent summary, require that subscriber to be excluded from the regular digest. Inspect both recipient selections after changing the preference. A saved field alone is insufficient acceptance evidence.

Define how subscribers who choose several areas are handled. Require one intended copy of a combined digest, or clearly described separate area editions. Keep the rule beside the campaign brief so the next sender can inspect it.

## Confirm the provider's page and link behavior

Mailchimp's preferences center is unavailable for audiences with GDPR-enabled signup forms or websites built with its classic website builder. A custom preferences-center domain requires a paid plan. [Mailchimp's availability and domain conditions, checked 2026.10.14](https://mailchimp.com/help/create-a-preferences-center/).

Have the administrator confirm the actual account and audience before selecting a design. Record the intended page address and who maintains it. Describe an external vendor destination clearly in the website brief.

Mailchimp uses the `*|UPDATE_PROFILE|*` merge tag for the preference link. The tag is contact-specific and does not populate in test emails. [Mailchimp's preference-link instructions, checked 2026.10.14](https://mailchimp.com/help/add-an-update-your-preferences-link/).

In the documented flow, clicking the campaign link opens a modal with an Email Me A Link button. Mailchimp sends a separate email containing the link to the profile form or preferences center. [Mailchimp's current link sequence, checked 2026.10.14](https://mailchimp.com/help/add-an-update-your-preferences-link/).

Plan an authorized campaign sent only to controlled subscribed test contacts. Follow the link from the received campaign through the separate email, save the choice, and inspect the profile. Request phone and desktop checks. Keep each recipient's personal links private.

## Keep preferences, permission, and opt-outs separate

Mailchimp defines permission as express, verifiable consent to marketing, separate from another agreement. It recommends written or archived permission. [Mailchimp's permission guidance, checked 2026.10.14](https://mailchimp.com/help/the-importance-of-permission/).

Give optional newsletter enrollment its own control on a service inquiry form. Retain the approved wording and permission record. Treat an inquiry submission, newsletter enrollment, and later preference change as separate evidence.

If double opt-in is enabled for a Mailchimp signup form, the visitor submits the form and confirms through an emailed link. Confirmation adds a subscribed contact. [Mailchimp's double opt-in guide, checked 2026.10.14](https://mailchimp.com/help/about-double-opt-in/).

Verify signup confirmation separately from the preference-update email. Give an existing subscriber a preference-editing route without treating every edit as a fresh signup.

Mailchimp requires its own unsubscribe link and treats audiences independently. Unsubscribing from one audience does not unsubscribe the contact from other audiences. [Mailchimp's unsubscribe documentation, checked 2026.10.14](https://mailchimp.com/help/about-unsubscribes/).

Inventory every audience and sending system used by the same business. Assign an owner to reconcile a request to stop all sender marketing. Ask for evidence of exclusion from the next campaign selection, rather than sending another marketing message to test it.

For commercial email, the FTC permits menus of message types only when an option stops all marketing from the sender. The opt-out mechanism must work for at least thirty days after sending. Requests must be honored within ten business days. [FTC compliance guide, August 2023, checked 2026.10.14](https://www.ftc.gov/business-guidance/resources/can-spam-act-compliance-guide-business).

The FTC also prohibits charging for opt-outs, demanding identifying information beyond the email address, or requiring more than a reply email or single webpage. [FTC opt-out requirements, checked 2026.10.14](https://www.ftc.gov/business-guidance/resources/can-spam-act-compliance-guide-business).

Keep Mailchimp's preference-update email sequence separate from the unsubscribe route. Require an opt-out check that follows the vendor's current instructions and the FTC guide. Leave legal interpretation with the business's adviser.

## Accept the setup against saved choices and received inquiries

Agree these checks before the administrator runs them. Use controlled contact details and clearly label website inquiries as tests.

| Proposed test | Evidence to require |
| --- | --- |
| Received campaign preference link | Completed link sequence on phone and desktop |
| Change a market area | Saved profile value and matching campaign recipient selection |
| Change a subject | Included and excluded recipient selections for the affected subjects |
| Select the less frequent option | Inclusion in the summary and exclusion from the regular digest |
| Choose several areas | Recipient selection matching the agreed duplicate-handling rule |
| Stop all marketing | Recorded request and exclusion across the business's sending systems |
| Newsletter declined or opted out | Seller and buyer service inquiries still delivered to the agreed recipient |
| Seller or buyer email link | Correct website page, usable form, and matching received test inquiry |

For the website check, open the email's destination and compare it with the selected area and subject. Require the page to explain the relevant representation service and offer a clear next step.

Submit a marked inquiry with the receiving person's agreement. Compare the question, reply details, and page context with the received record. Keep that receipt separate from subscription evidence.

Record the date, page addresses, campaign, expected result, observed result, and responsible person. Retest affected checks after changing an audience, sending rule, preference page, website form, or inquiry recipient.

## Put the website requirements in the written scope

Your preference worksheet distinguishes saved subscriber choices from service inquiries. Send the website requirements to [whole website fix: subscriber preferences](/for/real-estate). For the whole website fix, the scope records required connections before work begins.
